Sales Administrator (Onsite – Santa Catarina, Mexico)
As a Sales Administrator, you will play a key role in supporting our U.S.-based sales team through administrative support, CRM management, order processing, and internal coordination. You will also occasionally interact directly with customers via email, chat, or phone to assist with inquiries, provide updates, or resolve minor issues.
This is an onsite position based in our Santa Catarina, Mexico office, requiring strong communication skills, attention to detail, and a proactive, organized approach.
Areas of Responsibility
Sales Administration Support
- Maintain and update CRM systems (e.g., Salesforce, Odoo, HubSpot) with accurate sales data
- Prepare and process sales quotes, invoices, purchase orders, and contracts
- Coordinate with internal teams (logistics, finance, operations) to support the sales cycle
- Track order statuses, follow up on pending documentation, and support reporting needs
- Manage sales documentation and ensure compliance with internal processes
Customer Engagement (Occasional)
- Respond to customer inquiries via email, chat, or phone in a timely and professional manner
- Assist customers with basic product information, order updates, and support requests
- Escalate complex issues to relevant team members while maintaining clear communication
- Build rapport with customers and represent the company with professionalism and warmth
All employees are expected to maintain and contribute to the Quality Management System (QMS).
Required Qualifications
- Bachelor’s degree in Business Administration, Sales, Marketing, or a related field
- 2+ years of experience in sales support, administrative, or customer service roles
- Strong verbal and written communication skills in English
- Proficiency with Microsoft Office, Google Workspace, and CRM tools
- Ability to work independently, prioritize tasks, and meet deadlines
- Flexibility to work at least 4–5 hours overlapping with U.S. business hours (EST/PST)
Preferred Qualifications
- Experience working with international teams
- Familiarity with U.S. business practices and customer expectations
- Basic understanding of sales funnels and B2B or B2C sales processes
Como Administrador/a de Ventas, desempeñarás un papel clave apoyando al equipo de ventas en Estados Unidos mediante tareas administrativas, gestión de CRM, procesamiento de pedidos y coordinación interna. Ocasionalmente, también interactuarás directamente con clientes por correo electrónico, chat o teléfono para atender consultas, proporcionar actualizaciones o resolver temas menores.
Esta es una posición presencial en nuestra oficina de Santa Catarina, México, que requiere sólidas habilidades de comunicación, atención al detalle y un enfoque proactivo y organizado.
Áreas de Responsabilidad
Soporte Administrativo de Ventas
- Mantener y actualizar los sistemas CRM (por ejemplo, Salesforce, Odoo, HubSpot) con información precisa de ventas
- Preparar y procesar cotizaciones, facturas, órdenes de compra y contratos
- Coordinar con equipos internos (logística, finanzas, operaciones) para apoyar el ciclo de ventas
- Dar seguimiento al estatus de pedidos, documentación pendiente y necesidades de reporteo
- Administrar la documentación de ventas y asegurar el cumplimiento de los procesos internos
Atención al Cliente (Ocasional)
- Responder a consultas de clientes por correo electrónico, chat o teléfono de manera oportuna y profesional
- Apoyar a los clientes con información básica de productos, actualizaciones de pedidos y solicitudes de soporte
- Escalar temas complejos a los equipos correspondientes, manteniendo una comunicación clara
- Construir una relación positiva con los clientes y representar a la empresa con profesionalismo y calidez
Todos los empleados deben mantener y contribuir al Sistema de Gestión de Calidad (QMS).
Requisitos
- Licenciatura en Administración de Empresas, Ventas, Mercadotecnia o carrera afín
- 2+ años de experiencia en soporte de ventas, funciones administrativas o atención al cliente
- Excelentes habilidades de comunicación oral y escrita en inglés
- Manejo de Microsoft Office, Google Workspace y herramientas CRM
- Capacidad para trabajar de forma independiente, priorizar tareas y cumplir con fechas límite
- Disponibilidad para trabajar al menos 4–5 horas con traslape en horario laboral de EE. UU. (EST/PST)
Deseables
- Experiencia trabajando con equipos internacionales
- Familiaridad con prácticas comerciales y expectativas de clientes en EE. UU.
- Conocimientos básicos de embudos de ventas y procesos de ventas B2B o B2C
